To create a Program, go to the "Training" menu and select "Programs" from the sidebar.
We have designed a simple flow to guide you through the various steps of Program creation.
1. Select who you want to train
The first step is to decide who the target of your training is. We have provided different rules to help you manage your training at scale.
Across your organization (accessible to Admins only)
Company Onboarding: When you choose this training, the system automatically assigns the Program to a member as soon as they join your QA account.
Note: Currently, the platform does not have a way to differentiate new employees who join your account from long-time employees who join your account.
Training for a job role: This Program can be useful for assigning training to everyone who performs a certain role. The platform will automatically assign the Program to anyone assigned to this job role and future members who are assigned to this job role.
Note: If you choose this option, the platform can automatically select content in the next step. See Using Programs with Careers.
Company Members: "Custom Goal" is now "Company Members" and has been renamed without changing the rule logic. In addition, the system will anticipate your user selection during Program creation to speed up the Program creation.
Across your Teams (accessible to Team Managers and Admins)
Team Onboarding: When you choose this training for a Program, the system automatically assigns it to a member as soon as they join a team.
Note: The platform does not automatically assign the training to members of subteams. Click the arrow next to the team name to select subteams.
Team Training: When you choose this training for a Program, the system assigns it to the existing members. As long as the Program runs, the platform also assigns training to anyone who joins the Program.
Note: The platform does not automatically assign training to members of subteams. Click the arrow next to the team name to select subteams.
Team Members: When you choose the team members rule, the system allows you to select one or more members of the same team. This rule creates one Program with all the previously selected assignees, but no additional users can be added to the same Program later.
2. Define the skills or content to assign
After configuring the Program goal, you can choose whether to base the training content on "Smart Skills" or content from the training library.
Skill-based Programs
Select one or more "Smart Skills" you want to train as long as it's the level of proficiency you want your members to have in that skill by the time they complete the Program. If you choose the "Training for a job role" goal, the "Smart Skills" and proficiency level come from the job role you set up. Visit Career Paths and Job Roles for more information.
Skills-based Programs offer more opportunities for time savings |
When you create a skills-based Program, the platform first administers a "Smart Assessment" to the members. The members' performance on the "Smart Assessment" indicates whether they can skip some of the beginner-level content to achieve the level of proficiency you indicated.
The training content related to "Smart Skills" is available only through skills-based Programs. You cannot find this content in the training library to assign through other means, and you cannot assign custom content using a skills-based Program.
Note: A skills-based Program cannot train on custom skills created when you set up your job roles. You must train custom skills using content-based Programs.
Content-based Programs
Select content from the training library to assign. Everyone assigned to this Program completes the same training without the opportunity to customize the level of difficulty based on the members' current skill level.
3. Customize your Program settings
As a last step, we provide you with settings to customize the experience even more and tailor it to your needs.
At this stage, you must define the duration of the Program. We suggest you commit to no more than 3 hours per week. This will provide your members enough time to train and complete the Program within the deadline.
Alternatively, you can decide to pick a fixed duration instead.
Programs are duration-based training. That means that whenever a member is added to a program, their due date will be computed based on the duration of the Program. |
Start Date
If you want to plan your Programs, you can postpone their launch to a specific date.
Selecting a future date from here will create the Program in a scheduled state. You will be able to see the Program on your list and preview the members who will be assigned to it.
Learners won’t receive any email until the start date has been reached, but they will be able to see it in their dashboard in the Scheduled tab. This means that if they want, they can start training and you will see their progress reflected in your Programs detail page. |
Expiration Date
If a Program is only relevant until a certain date, you can automatically archive it upon its expiration date.
After this date, you will not be able to add or remove users, and users already assigned to it will no longer be able to progress further.
When the Program expires, learners will no longer see it in their dashboard and won’t be able to complete it. |
